How to turn an email into a task in Gmail

You can use your Gmail account as a to do list by using Gmail's "Tasks" feature.  This lets you mark emails as task, set due dates, and even create subtasks. More info  here .

Creating e-mail templates in Gmail

Previously we've shared how to create an  email template in Outlook  for emails you need to send frequently, and you can do the same using Gmail.   To set this up in Gmail, go to the gear icon in the upper right hand corner of your screen.  Then click Settings, and select the Advanced tab.   You'll see  Canned   Responses  as an option towards the top.  Select Enable.  Be sure to click "Save Changes" at the bottom of the screen to save. Then just click "Compose" to start a new email, write up what you want your template email to say, and save as a template.  To do this, click the three dots in the bottom right hand corner of your email, select "Canned responses", then "Save draft as template" and "Save as new template". How to insert a picture into an email

Want to add a picture into the body of an email but the picture isn't showing up?  You may need to use the "Insert picture" option that both Outlook and Gmail have. In  Outlook , when writing a new email, click on the "Insert" tab, then select "Pictures". This will open the pictures saved on your computer and you can select the one you want. In  Gmail , when writing a new email, click the picture icon at the bottom of the email. Then click "Upload".  Here you can drag photos over or click "Select files from your device" to open the list of pictures saved on your computer and select the one you want.

Tool to create diagrams and flow charts

Need to make a flow chart or diagram but don't want to draw it by hand?  There's a free add-on to Google Drive called  draw.io  that provides many different templates for making diagrams.   Just select the template you like best and you can edit the text, the layout, and the style to be exactly what you like.  When you're done, you can invite your coworkers to add comments, or export it and send via email.  More info  here .

Keeping your chrome bookmarks, passwords and history during the Windows 10 update

A lot of us rely on our saved bookmarks, passwords and history in Google Chrome.  Because of an update to Windows 10 that is underway by our IT department, everyone will need to sign into Chrome to save these features and settings by end of day this Friday, August 31st.   See the below message from our Technical Support Analyst Will Doren: "We are in the process of updating Windows 10 to the latest version. Converting Excel to Google Sheets

If you ever need to consult a spreadsheet while looking at a website, it can be frustrating to have to go back and forth between Excel and your web browser.   One way to make it easier is to convert your Excel spreadsheet into a Google Sheet (Gmail's version of the spreadsheet).  This way, you can have the data you need in the tab next door to the website you're looking at.  Read how  here .

New Features in Gmail

Thanks to Gene Sorkin, Associate Director of Technical Support, see the below article on recent changes to Gmail.  One of the new features is “Nudging” where Gmail will remind you to follow up or respond to messages in your inbox. ​  This is one of the ways the new Gmail helps you stay organized. Schedule your e-mails to send in the future

Did you know you can delay delivery of your e-mail messages?  In Outlook, you can schedule individual messages to be sent at a later time, or even set-up a rule so that all of your e-mails are delayed a few minutes before they're sent.    Learn more here .   Note: you must have your computer turned on and Outlook open at the time you want to send the message. If you are a Gmail  user,   Boomerang   allows you to schedule your e-mails for the future and more. The free version has a limit of 10 e-mails per month.

Unsend your e-mails in Gmail

Forgot that attachment?  Forgot to cc someone on your e-mail?  For those of you using Gmail /  courtinnovation.org , there's a way to set-up Gmail to allow you to unsend an email that you accidentally clicked the Send button on a bit too fast.  Once you enable "Undo Send", you'll have up to 30 seconds to unsend an e-mail, make your corrections, and then send it out again. Avoiding reply all chains when e-mailing large groups

In a past Tech Tip Tuesday, we shared how to mute a thread of e-mail replies that do not apply to you , whether you are using Outlook or Gmail.  How about if you are the one sending the e-mail?  To send an e-mail that eliminates reply-all e-mail threads, you simply BCC the e-mail list, and put our own e-mail address in the To line. Inbox rules to organize e-mail and create notifications

E-mail rules are a great way to either keep your Inbox organized, or even notify you when you get specific messages.  For example, you could set-up a rule so that every time you get a Tech Tip Tuesday e-mail, it automatically goes into a Tech Tip Tuesday folder.  You could also create a rule that every time you get an e-mail with a particular subject line, your computer makes a specific sound alert   (in Outlook only). ​ Interested?  Check out the instructions below: For Outlook on your desktop For web Outlook For Gmail
