Creating your new branded e-mail signature!

As part of our  branding efforts, the Center wants all staff to use the same format for signing e-mails – also called an “e-mail signature.” To make sure these e-mail signatures are consistent, we have created a Signature template webpage. Use this page to create your own e-mail signature, complete with your operating program logo. which you can then easily copy and paste into any e-mail program so it automatically appears at the end of your emails.  Do not use these logos for any other purposes.  E-mail smeah@nycourts.gov to get high-quality logos.

Here are detailed video instructions, as well as overview instructions, to use the template for Desktop Outlook, web Outlook, and Gmail (which includes the courtinnovation.org account). See the bottom of this post for mail app instructions on your phone.  You can also print out these instructions (Ctrl+P).

Desktop Outlook
  1. Clicking File > Options > Mail > Signatures


  2. Click New.
  3. You will be asked to give the signature a name.  Use any name you like; this is most helpful for people who need to use multiple signatures.  For example: “Anand – CCI” or “Anand – BCS”
  4. Open the Signatures template file, find the right logo for your site, highlight, and copy (Ctrl+C, right click+copy or edit > copy).
  5. In the Outlook new signature window, paste the signature (Ctrl+V or right click+paste)
  6. Highlight and type over Name, Title, e-mail - take care not to change the formatting!
  7. Edit the cell phone number, or delete it completely.
  8. Currently all the social media links point to Center accounts. To update the links to your operating program's social media, highlight the text you want to change, click the link button, and paste or type in your operating program's social media URL. You can also delete any of the social media accounts that don't apply to you.
  9. Select the signature template you just created in the dropdown beside New messages, and Replies/forwards
  10. Send an email to a colleague so they can make sure it looks right!

Gmail

  1. Click on the gear icon, and select Settings
  2. Scroll to the Signature text box.


  3. Open the Signatures template file, find the right logo for your site, highlight, and copy (Ctrl+C, right click+copy or edit > copy).
  4. In the Signature text box, paste the signature (Ctrl+V or right click+paste)
  5. Edit Name, Title, e-mail - take care not to change the formatting!  If you make a mistake, click Ctrl+Z as many times as necessary to undo.
  6. Edit cell phone number, or delete it completely.
  7. Currently, all the social media links point to Center accounts. To update the links to your program account, click the link you want to change, click the word "Change" and then paste or type in your operating program's social media URL. You can also delete any of the social media accounts.
  8. Scroll to the bottom of the page and click Save changes.
  9. Send an email to a colleague so they can make sure it looks right!
Web Outlook
  1. Click on the gear icon.
  2. Type "Signature" into the search box.
  3. Click e-mail signature.


  4. Open the Signatures template file, find the right logo for your site, highlight, and copy (Ctrl+C, right click+copy or edit > copy).
  5. In the Signature text box, paste the signature (Ctrl+V or right click+paste)
  6. Edit Name, Title, e-mail - take care not to change the formatting!  
  7. Edit cell phone number, or delete it completely.
  8. Currently all the social media links point to Center accounts. To update the links to your operating program's social media, highlight the text you want to change, click the down arrow, click the link button, and paste or type in your operating program's social media URL. You can also delete any of the social media accounts that don't apply to you.
  9. Check the two options to automatically include your signature.
  10. Click OK
  11. Send an email to a colleague so they can make sure it looks right!
Phones
If you are using a Mail App on your phone (e.g. Outlook app, Gmail app, iPhone mail app, etc) then you must create a different signature in the app.  In the signature window of your app, copy and paste or type the following signature:

First and Last Name
Title
Center for Court Innovation 
courtinnovation.org  

or...


First and Last Name
Title
Insert name of operating program
Insert website address

Listing a meeting attendee as optional vs. required

When sending an Outlook calendar invite out, you can select who is required to attend vs. who is optional to attend.   When you open a new meeting invite, first add attendees in the "To" field.  Then click on "Scheduling Assistant" in the top navigation bar. When in Scheduling Assistant, to the left of each person's name, you'll see a small icon.  This shows that the attendee is currently listed as "Required" for this meeting. When you click on this icon a drop down menu will appear.  Here you can change the status for this person to "Optional". You'll see the icon by the attendees name has now been changed. For any invite you can have a mixture of Required and Optional attendees, just change the icon for each person to the appropriate status.

Creating online forms and spreadsheets
