Send a link directly to a shared drive

Want to quickly direct someone to a specific document on a shared drive?  In Outlook, you can insert a link that takes someone to that exact file. When you're writing a new email message in Outlook, click on the "Insert" tab in the top menu, then click on "Link". In the window that opens up, type in the location in the shared drive you would like to link to.  This is inserted into the body of the email.  When the recipient clicks the link, they are taken directly to their file.

Schedule meetings with the FindTime add-on to Outlook

Trying to schedule a meeting with a large group of people and want a scheduling tool that works directly with your Outlook calendar?   FindTime can be added directly to your Outlook, where you can create a poll about which meeting time would work best.  Just download FindTime, open a meeting invite and click on the red FindTime button to create your new meeting poll.   You can download this free add-on and read more  here

Converting PDF to Word

Trying to convert a PDF into a Word document?  There are a few easy ways to do it! FoxIt Phantom PDF, which is already set up on most CCI computers, has the ability to convert from PDF to Word.  Read more  here .    There's also a free app called  Smallpdf.com  that allows you to convert PDF to other file formats including Word, and vice versa.  We recommend that you do NOT upload any documents with sensitive or confidential information for conversion, for security and privacy reasons. 

How to turn off Focused Inbox in Outlook

Want to see all your Outlook emails in one inbox, instead of have your emails separated into Focused and Other?  You can change this setting via computer or via your phone.   On your computer  In the top bar, click on "View" Click on "Show Focused Inbox" You'll now see the "Focused" and "Other" sections of your inbox have been removed and you're back to one Inbox. On your phone Click the Menu icon (horizontal lines) at the top of your screen Click on the Settings icon (looks like a gear) Use the "Focused Inbox" slider to turn Focused Inbox off

Google Tasks

How to spot a phishing email

Courtesy of Gene Sorkin, Associate Director of Information Technology Support, here are some telltale signs to look for the next time an email that smells phishy hits your inbox.  Keep an eye out for misspellings, such as legitimate business names that are missing or off by just one or two letters. Additionally, an unexpected email from an address that you never communicated with before is a good early sign of a possible scam. Subject lines containing too-good-to- be true offers or threatening statements meant to elicit an emotional reaction are clues that someone’s trying to phish you. Watch out for mass email sends or unexpected emails to email aliases like the example below. Any messages addressed generically, especially ones regarding financial transactions are suspicious. Using Google Meet for video and conference calls
